Five apps, five tabs, one person answering

Messages arrive from five separate places and one person is expected to answer them all. Vexvon brings them onto one screen and handles most of the replies itself — knowing your prices, your products and your rules.

What you get

The whole of customer service in one system

One unified inbox

Instagram, WhatsApp, Telegram, Facebook, TikTok and your website chats in a single list. Search works on names, numbers and even the text of a message.

AI replies 24/7

The bot answers from your knowledge base. Whichever language the customer writes in, the reply comes back in that language — it works the language out for itself.

Knowledge base

Your website, your PDF documents, your product catalogue and your past conversations — the bot uses all of them as sources.

Automatic data capture

The name, number, appointment date and any other fields you define are pulled out of the conversation. The moment a number is found, a lead is created.

Trigger system

When a number is detected, a keyword matches or a customer asks for an agent, an action fires automatically — a Telegram alert, a CRM lead, a Bitrix24 record.

Human oversight

One word in any conversation silences the bot, or switches it off entirely for that thread so you can take the conversation over.

Live example

What this looks like in the panel

Tap a heading — that capability opens beside it, mid-work.

An Instagram DM, a WhatsApp message, a Telegram question — arriving together and answered from the same panel. Each conversation shows who owns it, whether it has been read, and whether the bot is active in it.

How an answer is built

From the message arriving to the reply going out

All of it takes a few seconds. The steps below repeat for every message.

  1. 01Messages are gatheredMessages written back to back are held for a few seconds, so one complete reply goes out instead of three separate ones.
  2. 02The language is detectedWhich language the customer wrote in is worked out — and the reply is prepared in that language.
  3. 03The question is completedA half-question like “and in red?” is joined with the conversation history and turned into a full one.
  4. 04The knowledge base is searchedThe most relevant pieces of your content are found. If an image was sent, it is matched against the product catalogue too.
  5. 05Live data, if neededFor a question like “where is my order?”, the bot queries your own system and brings the answer back from there.
  6. 06The reply goes out, the result is recordedThe answer is sent to the channel; the data extracted, the knowledge used and the cost are all logged.
The mechanics

Three things that separate this bot from an ordinary one

It doesn't invent — it speaks from your knowledge

The answer is built from the content you uploaded, not from general internet knowledge: website pages, PDF documents, the product catalogue, your FAQ and past conversations. If nothing relevant is found, the bot keeps the conversation going politely instead of making something up, and hands over to an agent when it should.

  • The source is visibleEvery reply keeps a record of which knowledge it used
  • Rules per channelA public comment and a private message do not get the same answer

It pulls out what matters on its own

Name, phone, appointment date, budget, product interest — you decide which fields to collect and the bot extracts them from the thread. Only what genuinely appears in the text is taken; relative dates like “tomorrow” are turned into an actual date.

  • Buying-intent filterNumbers with no real interest are not recorded as leads
  • A one-sentence summaryThe manager sees the substance without reading the whole thread

A person is always one step ahead

You can switch the bot off for a whole conversation, silence it temporarily with a single word, or do nothing at all and simply watch. If a customer is abusive the bot goes quiet on its own; when they say “I want to speak to someone”, your team is notified with a link to the conversation.

  • Internal notesYour team writes notes inside the thread — the customer never sees them
  • Conversation ownerEvery thread can be assigned to one member of staff
Control

What you decide, and what the system does itself

The line is clear: you set the rules, the system does the work that repeats.

You decide

  • The bot's tone, language and answer length
  • Working hours and the out-of-hours message
  • Which fields get collected (name, number, date, budget…)
  • The stop word or symbol that silences the bot
  • Canned-reply rules and keywords
  • Which manager a lead goes to

The system does

  • Gathering messages and preparing a single reply
  • Recognising the customer's language and answering in it
  • Finding the number, creating the lead and merging duplicates
  • Following up a customer who went quiet
  • Reading the content of images, audio and video
  • Refreshing connection tokens overnight

One account, every channel

7
